Documentation & Records Operations - Internship

This is a hands-on operation internship focused on organising, structuring,

and maintaining physical and digital records that support accounting,

compliance, and business operations. The work is execution-focused, checklist-

driven, and structured. This is not a creative, marketing, design, or strategy

role.

Selected intern's day-to-day responsibilities include:

A. Physical Records:

1\. Sort and organise physical documents into pre-defined folders

2\. Label files as instructed

3\. Keep unclear or unidentifiable documents in Archive / Unsure

4\. Prepare a simple inventory of physical files.

B. Digital Records:

1\. Sort files from a central inbox into pre-created digital folders

2\. Organise documents entity-wise, year-wise, or category-wise (as

instructed)

3\. Do not rename, delete, or restructure unless clearly instructed

4\. Flag duplicates or unreadable files (do not delete)

C. Ledger, Statement & Data Downloads:

1\. Download ledgers, bank statements, and reports from accounting or banking

systems using the provided access and instructions

2\. Save files in the correct folders with the instructed format

3\. Maintain a checklist of what has been downloaded and what is pending

4\. You will download and place files, not analyse or interpret them.

D. File Conversions & Formatting:

1\. Convert files between formats as instructed (e.g. Excel PDF, Image PDF,

PDF split/merge).

2\. Ensure files are readable and correctly saved. Flag conversion issues if

any file is unclear or corrupted

E. Tracking & Handover

1\. Maintain a daily work log/checklist

2\. Prepare a short handover note at the end of the internship covering:

3\. Work completed, Pending items, Blockers (if any)
