Operations & Delegation - Internship
Vanillakart
Selected intern's day-to-day responsibilities include:
A. Founder Task Delegation & Follow-ups
1\. Receive tasks directly from the Founder and delegate them to the
appropriate teams or individuals
2\. Ensure clear instructions, deadlines, and expected outcomes are
communicated
3\. Track task progress and provide regular status updates to the Founder
4\. Follow up rigorously until task closure
B. Schedule & Calendar Management
1\. Maintain and manage the founder's daily, weekly, and monthly schedule
2\. Coordinate meetings with HRs, BDEs, contractors, partners, and clients
3\. Prioritize tasks and meetings based on urgency and business impact
4\. Ensure no scheduling conflicts and optimal time utilization
C. Records, Documentation & Reporting
1\. Maintain structured records of tasks assigned, task completion status,
team performance, and contractor deliverables
2\. Prepare weekly and monthly operational reports for the Founder
3\. Ensure all internal documentation is updated and easily accessible
D. HR Task Delegation & Coordination
1\. Delegate operational tasks to HR teams
2\. Track hiring processes, intern onboarding, attendance, and task allocation
3\. Act as a coordination bridge between the founder and the HR team
E. BDE Task Delegation & Monitoring
1\. Assign daily/weekly tasks to all business development executives (BDEs)
2\. Monitor lead follow-ups, outreach activities, and sales reporting
3\. Ensure BDEs are aligned with targets and timelines
4\. Escalate delays or performance issues to the Founder
F. Independent Contractors & Freelancers Coordination
1\. Delegate tasks to independent contractors (designers, developers,
marketers, etc.)
2\. Track deliverables, deadlines, and revisions
3\. Ensure output quality meets company standards
4\. Maintain contractor task logs and timelines
G. Content Creators & Internal Teams Delegation
1\. Assign tasks to content writers, designers, video editors, and social
media managers
2\. Ensure content timelines are followed
3\. Coordinate approvals between Founder and creators
4\. Maintain content calendars and task trackers
H. Process & System Improvement (Over 6 Months)
1\. Help build and refine delegation systems, SOPs, and workflows
2\. Identify operational gaps and inefficiencies
3\. Propose tools or processes to improve execution speed and clarity
